Le Relais Populaire (“we”, “us”) is a non-profit organization in Lachine that feeds the children of the neighbourhood’s schools. We take the protection of your personal information seriously. This policy explains, in plain language, what information we collect on the relaispopulaire.com website and in our exchanges with you, why we do so, how we protect it and what your rights are.
It is adopted under Quebec’s Act respecting the protection of personal information in the private sector (CQLR, c. P-39.1), as amended by Law 25 (An Act to modernize legislative provisions as regards the protection of personal information). Personal information is any information that identifies you, directly or indirectly: your name, email address, phone number, IP address, and so on.

The person in charge of the protection of personal information at Le Relais Populaire oversees the application of this policy and of the law. Any question, request for access or correction, or complaint should be addressed to this person.

What information we collect, and how
We collect only the information needed for the purposes described below. You can browse the whole site without giving us any personal information.
Information you give us
- Contact form: name, email address, subject and message.
- Volunteer application form: first name, last name, email address, phone number, availability and, if you wish, a short message about yourself.
- Partnership form: name of the business or organization, name of the contact person, email address, phone number, type of support considered and message.
- Emails and phone calls: the information you choose to share when you write to us or call us.
Information collected automatically
- Technical browsing data: IP address, browser and device type, pages viewed, date and time of the visit. This data is used to operate and secure the site and, only with your consent, for audience statistics (see the section on cookies).
- Spam protection: our forms use the Google reCAPTCHA service, which analyzes browsing behaviour (IP address, interactions with the page, Google cookies) to tell a person from a robot. This data is processed by Google under its own privacy policy.
Donations and newsletter
Online donations and newsletter sign-ups take place on a secure fundraising platform, a site separate from ours. The information you enter there (name, contact details, payment information, donation amount) is collected by that platform, which passes on to us the information needed to thank you, issue your official tax receipt and send you the newsletter. We never have access to your payment card details. The platform’s privacy policy is presented to you when you donate.
Why we collect it
We use your personal information only for the following purposes, which are stated at the time of collection:
- to answer your questions and requests;
- to process your volunteer application, contact you and organize your involvement;
- to follow up on a partnership or corporate donation proposal;
- to manage donations, issue tax receipts and thank you;
- to send you our newsletter, if you have subscribed;
- to keep the site running smoothly and securely and to prevent spam;
- to measure, in aggregate form and with your consent, how the site is used so we can improve it;
- to meet our legal obligations, including tax obligations.
We do not use your information for other purposes without your consent, except where the law allows or requires it. We make no decision based solely on automated processing of your information, and we do not carry out profiling.
Your consent
When you fill out a form, you consent to our using the information provided for the stated purposes. This consent is free, informed and given for specific purposes. You may withdraw it at any time by writing to the person in charge; we will then stop using your information, except for what we are required to keep by law.
Our forms are intended for adults. We do not knowingly collect personal information from children under 14 without the consent of a parent or the person having parental authority. The children we feed are never identified on this site.
Cookies and tracking technologies
A cookie is a small file stored in your browser. Our site uses:
- Necessary cookies for the site to work, for example to remember your consent preferences or your language. They do not identify you and do not require your consent.
- Statistics cookies (Google Analytics), which help us understand how the site is used. They are off by default and are set only if you accept them in the banner shown on your first visit.
- Google reCAPTCHA cookies, used to protect our forms against spam.
You can change your choices at any time by reopening the cookie banner (preferences button available at the bottom of the site), or by setting your browser to refuse cookies. The details of each cookie, its purpose and its duration are listed in our cookie policy. We use no advertising cookies and no social media tracking tools: the share buttons and the links to our Facebook and Instagram accounts are plain links.
Who has access to your information
Your information is accessible only to the members of our team who need it to carry out their duties (management, volunteer coordination, administration). We never sell or rent your personal information.
Third parties working for Le Relais Populaire
Le Relais Populaire uses the services of trusted third-party companies that are part of our information system, that is, our human and material resources. They help us provide, improve, protect and promote our Services. These third-party companies have access to your information only to carry out tasks on our behalf and in accordance with this Privacy Policy.
We may also disclose information when the law requires it, for example to the Canada Revenue Agency and Revenu Québec for tax receipts, or to an authority making a lawful request.
Transfers outside Quebec
Some of the third-party companies we use may store or process data outside Quebec. Before entrusting personal information to a provider located outside Quebec, we assess the risks to your privacy and ensure, by contract, that your information receives adequate protection.
How long we keep it
We keep your information only as long as needed for the purposes for which it was collected, then we securely destroy it or anonymize it.
- Messages sent through the contact form: no more than 12 months after the last exchange.
- Volunteer applications: 12 months if the application is not accepted; for the whole duration of the involvement and 3 years after it ends if it is.
- Partnership requests: for the duration of the relationship and 3 years after it ends.
- Information related to donations and tax receipts: 7 years, in accordance with tax requirements.
How we protect it
We apply reasonable security measures, suited to the sensitivity of the information: encrypted connection (HTTPS) across the whole site, password-protected access to the site administration and to our mailbox restricted to authorized people, regular updates of the site and its components, backups, and awareness among our team. No method of transmission or storage is completely secure, however; we cannot guarantee absolute security.
Confidentiality incidents
If an incident involving your personal information were to occur (unauthorized access, use or disclosure, or loss), we would act without delay to limit its consequences. We keep a register of incidents and, if an incident presents a risk of serious injury, we notify the Commission d’accès à l’information du Québec as well as the people concerned.
Your rights
At any time and free of charge, you may:
- Access the personal information we hold about you and obtain a copy;
- Have corrected any information that is inaccurate, incomplete or ambiguous;
- Withdraw your consent to the use or disclosure of your information, and unsubscribe from the newsletter;
- Request that we stop disseminating or de-index information about you, under the conditions set out in the law;
- Obtain, in a structured and commonly used technological format, the computerized information you provided to us (portability);
- File a complaint about the handling of your information.
To exercise a right, write to the person in charge at direction@relaispopulaire.com, describing your request. We may ask you to confirm your identity. We reply in writing within 30 days of receiving the request. If you are not satisfied with our reply, you may contact the Commission d’accès à l’information du Québec.
Links to other sites
Our site contains links to sites we do not control (fundraising platform, social media, partners, schools). Their personal information practices are governed by their own policies, which we invite you to read.
Changes to this policy
We may change this policy to reflect changes in our practices or in the law. The current version is always published on this page, with its update date. In the event of a significant change, we will inform the people concerned through a notice on the site or by email.
